Job Overview:
The Senior Event & Project Specialist will independently support event and project coordination with minimal supervision. This role is responsible for leading the end-to-end planning, execution, and post-event evaluation of various events. The specialist will also contribute to annual event calendar planning and conduct analysis of potential future opportunities. Working as part of the Corporate Communication Marketing Operations team, this position plays a key role in delivering well-organized, high-impact events and projects that strengthen SHL’s presence in the medical device industry.
Main Responsibilities:
Event Preparation:
- Prepare events from start to finish independently to ensure successful participation.
- Ensure projects and events are delivered as planned on time.
- Handle all administrative work and support logistical matters.
- Collaborate closely with event organizers, suppliers, and other stakeholders, guiding event participants to ensure successful event participation.
- Communicate and align with relevant parties to meet deadlines and resolve issues timely.
- Maintain and file detailed projects and event timelines to communicate task status on the project management tool.
- Work closely with event manager to monitor and control event budgets, and support analysis of potential future events.
On-Site Event Execution:
- Lead event execution and participation on-site.
- Coordinate on-site event setup with team members and vendors, ensuring seamless execution.
- Handle any unforeseen issues or emergencies that may arise during events.
- Collect first-hand impressions and learnings and implement them for future events.
Post-Event Evaluation and Reporting:
- Complete the post-event process by evaluating attendee feedback, finalizing content deliverables, organizing assets and materials, and ensuring all follow-up actions are addressed to support future planning and continuous improvement.
- Support the Global Events Manager in planning the event calendars.
Cross-Functional Collaboration:
- Collaborate closely and align regularly with local sales at our sites in Switzerland, Taiwan, and North America.
- Guide and support SHL participants from different teams and functions within the whole organization.
Requirements:
- Experience: At least 5 years of working experience in event management, hospitality, or a related field.
- Detail-Oriented Mindset: Very organized and detail-oriented, with high reliability and efficiency.
- Language Skills: Excellent bilingual English/Chinese language skills, both speaking and writing, to work with other regional teams.
- Technical Proficiency: Proficiency in Microsoft Office applications, especially PowerPoint and Excel.
- Willingness to Travel: Open to travel in support of key events, as needed.
- Communication Skills: Excellent communication and interpersonal skills to effectively interact with team members, vendors, and stakeholders.
Preferred:
- Project Management Understanding: Knowledge of project management, including planning, management, and execution.
- Industry Experience: Proven experience in event planning and execution, preferably in the medical or pharmaceutical industry.
- Proactivity: Solutions-oriented with a positive attitude towards challenges and the ability to work well under pressure.
