Job Overview

The PMO (Project Management Office) Analyst is responsible for ensuring projects are correctly set up, governed, and supported within the PMO framework, enabling PMs to focus on delivery.

Main Responsibilities

  • Project Set‑up & Operational PM Support
    • Create and maintain project structures in PPM tools (project codes, project set‑up, initial data entry)
    • Maintain project master data and ensure consistency across systems
    • Provide hands-on support to PMs for day‑to‑day PMO-related activities (tools, templates, process application)
  • PMO Process & Governance Execution
    • Apply PMO standards, templates and governance rules in daily operations
    • Perform basic quality checks on governance deliverables (gate packages, status updates)
    • Maintain PMO SharePoint pages, templates, checklists, and guidance material
  • Tools & Systems Support
    • Act as first point of contact for PM tool/process questions (user support)
    • Support implementation, testing, and improvement of PMO tools
    • Ensure correct tool usage and data completeness
  • Portfolio Data Support
    • Consolidate inputs for portfolio reporting
    • Perform data completeness and consistency checks
    • Prepare standard reports and dashboards based on predefined templates
  • PMO Operations & Coordination
    • Organise meetings and prepare agendas
    • Document key outcomes, decisions, and actions
    • Track action items and follow up with stakeholders
    • Support preparation of presentations

Across all responsibilities, the role holder is expected to stay abreast of emerging technologies and continuously identify practical opportunities to leverage AI and digital tools to improve daily work, increase efficiency, and enhance the overall support provided through the PMO to project teams and other stakeholders.

Minimum Qualifications

  • 3+ years of relevant experience within a PMO organization or/and project management experience and proficiency in state-of-the-art PM methodologies and tools.
  • Advanced knowledge in data processing and analysis technics/tools.
  • Knowledge in SAP, Office365/MS Excel and SharePoint. 
  • Strong interest in continuous improvement and project/portfolio analytics.

Language skills 

  • Must have :  Fluent in English
  • Nice to have : Mandarin
