Job Overview

As a Project Assistant, this role provides administrative support to Project Managers with digital systems/tools, procurement, logistics, and documentation to ensure smooth and efficient project execution.

 

Main Responsibilities 

Collaborate with and support Project Managers to ensure smooth project execution:

  • Support digital documentation maintenance (Siemens Teamcenter), including Change Control (CRs/CNs) and updating Product Development Plans (PDP).
  • Assist onboarding new employees with system access and IT/compliance requirements.
  • Create and track Purchase Requisitions (PRs) in FIORI; manage Goods Issue requests and maintain Material Master Data.
  • Support with prototypes and samples shipment to customers or overseas sites, including handling of Delivery Notes, packaging, and logistic arrangement with Supply Chain.
  • Prepare and submit import permit documentation, track requests, and coordinate scrapping of used materials.
  • Route various documents for electronic signatures via Adobe Sign.
  • Contribute to process improvements (processes that are relevant to the role’s responsible areas)

Minimum Qualifications

  • Graduate in Engineering, Business, Supply Chain, or related field.
  • Strong organizational and communication skills; ability to work accurately and collaboratively.
  • Open-minded, proactive, structured, and eager to learn; able to follow established processes, support process training, and contribute to process improvements.

Preferred Qualifications

  • Project Management experience and/or training
  • Familiarity with PLM/ERP systems (e.g., Teamcenter, SAP/ SAC / FIORI) is a plus
  • Familiarity with medical device industry or other highly regulated/controlled industry
  • An internship or up to 1–2 years of work experience in project support, procurement, or administration is an advantage.

 

Language skills

  • Must have: Fluency in English and Mandarin
